We collect: (a) information you provide when registering or joining the waitlist (name, email, organisation, country, role); (b) expense claim data submitted through the app (amounts, categories, receipts, descriptions); (c) device and usage data collected automatically (IP address, browser type, pages visited, time spent).

We use your data to: operate and improve the VolunteerPay service; process and manage expense claims; send product updates and launch notifications (with your consent); comply with legal obligations including financial record-keeping requirements.

4. Legal basis for processing

We process your data under the following legal bases: contract performance (to provide the service you signed up for); legitimate interests (to improve the product and prevent fraud); consent (for marketing communications, which you can withdraw at any time); legal obligation (for financial and audit records).

We retain your account data for as long as your account is active. Expense claim records are retained for 7 years to comply with financial record-keeping requirements. You may request deletion of your account at any time, subject to our legal retention obligations.
